The Boilermaker Contractors' Association (BCA) is a registered employer organization representing boilermaker contractors in the Building Trades unionized construction and maintenance industries across Canada.

Position Summary and Job Details

This is an 18 month contract position for 30 hours/week to provide administrative support and clerical duties, reporting directly to the President and the Office Manager of the BCA. 

Job details include the following:

Coordinate travel arrangements and registrations for the BCA President, Staff and Directors, and prepare travel packages

Maintain the calendar/schedule of the BCA President

Arrange meeting rooms, catering, hotel reservations for BCA meetings and negotiations; liaise with hotel sales staff; review follow-up agreements and contracts for accuracy

Organize and prepare package materials for BCA meetings and distribute agendas and minutes

Prepare agendas, reports, presentations, newsletters, notices and correspondence to BCA Board and member contractors

Sort expense receipts and complete monthly Expense Report for BCA President

Prepare monthly Manhour Reports

Assist with reception duties including answering telephones, relaying messages, updating member databases, courier / postal drop-offs

Organize documents and correspondence for filing

Faxing, photocopying, filing and other related work as assigned

Assistance with payment of invoices and financial records when required

Update BCA website and Director portal

Responsible for office IT and equipment maintenance and troubleshooting, including dealing with cleaning, repair and service providers

Such other duties as related to the above which are assigned by the President / Office Manager

 

Required Knowledge, Skills and Attributes

Post secondary education and/or training in a business discipline is required

Two to three years of relevant work experience is required

Advanced skills in Microsoft Office applications

Excellent verbal and written communication skills

Excellent interpersonal skills

Proven ability to effectively prioritize work flow, set priorities and multi-task

Able to produce high quality, accurate results while meeting tight deadlines

Ability to exercise good judgment, show initiative and be proactive as part of a team

High standards of ethics and confidentiality to handle sensitive information

Knowledge of bookkeeping/Quickbooks is an asset
